Job Description

Job Title: Document Imaging Specialist

Contract Duration: 3+ Months

Work Location: Onsite Only (Remote work not permitted)

Position Overview:

We are seeking a highly organized and detail-oriented Document Imaging Specialist to support a large-scale records digitization initiative. This project involves scanning and indexing approximately 1,400 confidential personnel files—comprising both active employee records and pension-related documents—into a SharePoint system. This is a mission-critical role requiring discretion, accuracy, and confidentiality.

Key Responsibilities:

  • Operate high-speed scanners to digitize paper-based HR documents.
  • Prepare files for scanning (remove staples, unfold pages, organize documents).
  • Ensure both sides of each page are captured and scanned correctly.
  • Review scanned images for clarity, completeness, and accuracy.
  • Apply standardized naming conventions and index scanned documents in SharePoint.
  • Carefully handle thick and sensitive personnel files with confidentiality and care.
  • Maintain an efficient workflow while upholding a high level of precision.
  • Follow all data privacy regulations and internal confidentiality standards.

Qualifications:

  • Prior experience in document scanning, digital imaging, or records management is preferred.
  • Familiarity with SharePoint or similar document management systems is a strong plus.
  • Excellent attention to detail and accuracy in data handling.
  • Comfortable working with confidential and sensitive HR documents.
  • Strong organizational and time management skills.
  • Ability to work independently in a focused, repetitive task environment.
  • Professional demeanor with a high level of discretion.
  • NDA must be signed prior to onboarding.
