Job Description
Overview:
- Manages the operation and maintenance of the organization's motor vehicles for the US and Canada.
- Ensures compliance with government rules and regulations and files necessary paperwork to support compliance.
- Always ensure the availability of necessary fleet vehicles.
- Maintains relationships with outside vendors and service providers.
- Develops and implements vehicle and equipment preventive maintenance and training programs.
- Collaborate with team members to enhance fleet operations and community engagement efforts.
Fleet Management Responsibilities:
- Fleet Maintenance Program:
- Track vehicle maintenance and repairs, ensuring fleet availability and readiness.
- Record and maintain fleet maintenance records, correspondence, and other relevant materials.
- Collaborate regularly with Kasco drivers and repair shop staff to ensure timely repairs and preventative maintenance.
- Vehicle Registration & Title Management:
- Manage and apportion vehicle registrations and titles.
- Motor Vehicle Accidents:
- Coordinate repairs for physical damage claims involving Kasco-owned/insured motor vehicles.
- Provide documentation for company vehicles involved in accidents and citations.
- Manage auto-liability claims in coordination with Fleet Services.
- Oversee vehicle accident management procedures, ensuring claims are handled promptly.
- Driver Safety Program:
- Assist in creating and maintaining a Driver Safety Training program.
- Manage and assign new hire and ongoing driver safety training.
- Vehicle Purchases & Equipment Management:
- Oversee the purchase and apportionment of new & used vehicles and related equipment.
- Coordinate vehicle deliveries and ensure timely acquisition.
- Manage incoming and outgoing vehicle inventory.
- Oversee the disposal of old company vehicles, ensuring compliance with environmental and company policies.
- Fuel Program & Fuel Card Management:
- Administer and oversee the fuel program, including fuel card distribution and usage.
- Monitor fuel consumption patterns and ensure cost efficiency.
- GPS and Fleet Reporting Management:
- Manage GPS systems and ensure timely reporting by Fleet Services Representatives (FSRs).
- Develop and manage monthly, weekly, and daily fleet reports to track performance.
- Monitor fleet data to identify trends and opportunities for improvement.
- Vehicle Insurance & Safety:
- Maintain a database of all insured company vehicles and provide insurance cards as needed.
- Monitor fleet rebates and ensure proper credits are received.
- Maintain and update the insurance database.
- Ensure compliance with safety standards and regulations.
- Driver Background Checks:
- Oversee and manage the annual Motor Vehicle Record (MVR) background check program for all Kasco drivers.
- Vehicle Transfers & Insurance Management:
- Process vehicle transfers within the company.
- Handle updates and changes to the fleet's insurance database.
Accounting Responsibilities:
- Business Licenses & Property Taxes:
- Process and manage business licenses and property taxes for the fleet.
- Corporate Credit Card Management:
- Administer corporate credit cards used for fleet-related expenses.
- Vendor Management:
- Vet and manage all Kasco vendors, ensuring compliance with contracts and operational needs.
- Lease Program Management:
- Maintain lease software programs for proper accounting, entering and editing leases.
- Prepare standard cost revaluations to ensure cost accuracy.
Additional Responsibilities:
- Fleet Budget & Cost Control:
- Oversee the fleet budget, tracking vehicle maintenance, fuel, insurance, and other expenses.
- Analyze fleet performance metrics (e.g., fuel efficiency, vehicle downtime) to identify cost-saving opportunities.
- Technology Integration:
- Oversee the integration and use of fleet management technologies (e.g., GPS, telematics, software).
- Optimize vehicle performance, reduce fuel costs, and increase operational efficiency.
- Environmental Compliance:
- Ensure fleet compliance with environmental regulations, including emissions standards and green vehicle policies.
- Emergency Response Coordination:
- Develop and implement procedures for vehicle breakdowns, accidents, and emergencies.
- Coordinate with emergency services and insurance companies as needed.
- Vendor & Supplier Contract Management:
- Review and negotiate vendor contracts to ensure favorable terms and cost-effectiveness.
Qualifications:
- May require a bachelor's degree in a related area or 2-4 years of experience in fleet management.
- Prior knowledge of DMV policies and procedures preferred.
- Relevant certifications (e.g., Certified Automotive Fleet Manager - CAFM) are a plus.
- Strong communication, organizational, and problem-solving skills.
