Job Title: Legal Administrative Assistant

Salary Range: $75,000 - $96,000 per year

Location: New York, NY (Hybrid Schedule)

Work Schedule: In-office for the first 90 days (5 days per week), then hybrid (3 days per week in-office)

About The Firm:

Trustpoint.one is assisting a Major Am Law firm in their search for a skilled Legal Administrative Assistant to join the Legal Support Services (LSS) team. This role provides high-quality and efficient legal support services to timekeepers and business professionals within the disputes and transactions verticals. Working collaboratively within a team and with other departments, this position offers a broad range of legal and administrative support, including document production and project management.

Key Responsibilities:

  • Provide direct support to lawyers and business professionals within the Legal Support Suite.
  • Act as a point of contact for lawyers within a practice area vertical.
  • Monitor the firm’s delegation tool, accepting and completing assignments, and delegating work appropriately.
  • Maintain professional relationships with clients, business contacts, courts, and professional organizations.
  • Create, edit, and proofread a variety of legal documents, including agreements, pleadings, spreadsheets, presentations, and reports.
  • Draft correspondence and emails, create templates for legal documents, and facilitate court filings when necessary.
  • Manage lawyer Outlook calendars, resolve scheduling conflicts, and coordinate travel itineraries.
  • Organize and prepare meeting materials and agendas.
  • Communicate effectively with lawyers and business professionals to ensure seamless support and coverage.
  • Assist with monthly billing and compliance requirements.
  • Adhere to best practices within the LSS Department, practice groups, and firm technology.
  • Perform other duties as assigned.

  • Advanced Microsoft Office skills (Word, Excel, PowerPoint) and ability to learn firm-specific programs.
  • High proficiency in document formatting, conversions, and redlining.
  • Strong knowledge of legal terminology and documentation.
  • Exceptional organizational, problem-solving, and project management skills.
  • Ability to maintain confidentiality and demonstrate excellent judgment.
  • Strong attention to detail and ability to prioritize work in a fast-paced environment.

Education and Experience:

  • Minimum: High School Diploma or GED.
  • Preferred: Bachelor’s Degree.
  • Minimum of 2 years of administrative experience in a law firm or professional services organization, with experience in a related practice area preferred.
