Job Description

Eleven Recruiting is seeking a dynamic Payroll Manager to join one of our consulting/engineering clients located in Pasadena, CA. The Payroll Manager will lead their corporate payroll functions. The successful candidate will ensure accurate and timely payroll processing, compliance with relevant laws, and effective team management.

Responsibilities:

  • Oversee the processing of weekly, biweekly, and monthly multi-state, non-union, and union payrolls.
  • Manage a team of 3-4 payroll administrators.
  • Review payrolls and transmit payroll files to ADP on a weekly/biweekly basis.
  • Adhere to payroll best practices, guidelines, and procedures.
  • Recommend automation and improvements in payroll-related processes.
  • Coordinate timekeeping (Oracle Time and Labor) and payroll systems.
  • Oversee payroll changes (e.g., new hires, terminations, raises).
  • Review manual checks and wires.
  • Play an integral role during conversions and acquisitions.
  • Ensure compliance with federal, state, and local laws.
  • Supervise and coach team members.
  • Coordinate with auditors on SOX, internal, and external audits.
  • Conduct testing on new extensions, system upgrades, new calculation setups, projects, and data analyses.
  • Collaborate with Human Resources (HR) and Accounting teams to reconcile discrepancies.
  • Maintain accurate records and prepare reports for audits.
  • Resolve issues and answer payroll-related questions, escalating complex issues to the Payroll Director.
  • Coordinate Workers' Compensation and Multiple Work Site location reports quarterly.
  • Manage SUI rate changes, updating and verifying ADP charges for accuracy.
  • Assist in resolving tax variances presented by the payroll tax accountant.
  • Coordinate quarter and year-end activities.
  • Work with IT on testing new processes and interfaces.
  • Provide professional and timely customer service to internal, external, and third parties.

Qualifications:

  • BSc/BA in Business Administration, Accounting, Human Resources, or a related field.
  • CPP designation is required.
  • Proven experience of 3+ years as a payroll manager processing over 5000+ employees.
  • Multistate payroll experience is required.
  • Demonstrated leadership experience.
  • Current knowledge of payroll procedures and related laws.
  • Familiarity with payroll software ADP Vantage or WFN, ADPR reporting.
  • Ability to work cross-functionally and build relationships in a team environment.
  • Experience in system implementations.
  • Strong interpersonal and customer service skills.
  • Ability to establish and maintain cooperative work relationships.
  • Outstanding written and oral communication skills.
  • Excellent organizational and leadership skills.
  • Knowledge of labor and payroll tax laws.
  • Understanding of federal, state, and local payroll regulations and union contracts.
  • Strong Excel and analytical skills.
  • Ability to multitask and prioritize tasks and projects effectively.
