Job Description

This is a hybrid position; our office is located in Washington, DC.

Reports To: Director of Events

Job Overview:

Primarily focused on delivering event planning and management services consistent with the strategic plan, budgetary goals, and organizational needs. The position and will manage all elements of an event from conception to measurement, including but not limited to project management, vendor negotiation and supervision, budget management and event logistics for both small and large events that occur both on and off site. A successful candidate will be extremely organized and be able to manage the event logistics of multiple events simultaneously. The pace of the work is faster than average, the ability to learn quickly and thoroughly while continually recognizing and adapting to changing conditions is critical. This position is customer focused and must have the ability to professionally respond to problems and creatively resolve them in collaboration with the Director of Events. This position would also work closely with the government relations teams on a wide array of events. This is a hybrid position which requires a minimum of two days a week in the office and/or may be dependent on scheduled events and mix of day and evening hours.

Responsibilities & Duties

•Manage the execution of a wide variety of events in the DISCUS bar and for other conferences as assigned.

•Oversee the entire event process including venue sourcing, researching and hiring vendors, managing onsite registration, compiling guest lists, creating floor plans, managing rooming lists, reviewing banquet event orders, etc.

•Maintain a positive working relationship with department staff, association members, vendors, and venues.

•Understand the complex needs of different events, DISCUS departments, and membership nuances.

•Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, equipment, promotional material etcas well as compliance with House and Senate Ethics rules.

•Coordinating event entertainment, including music and performers,

•Attentive to the value of staying under budget while planning event specifications.

•Tracking budgets and closing out event finances in a timely manner and creating post event financial reports for tracking.

•Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, organizing vendors, and managing tear-down.

•Communicate with Comms and Branding team, or outsourcing firm, to coordinate effective promotions for each event and advise on signage and graphics needs.

•Build and maintain rapport and relationships with individuals and groups through an outgoing, poised, professional and persuasive communication style.

•Able to present event idea and plans clearly.

•Anticipate and plan for possible different scenarios. Ability to manage sponsors and exhibitors.

•Other duties as assigned.

•Ability to work evening events and extended hours and weekends.

•Ability to move or lift up to 50lbs

Qualifications & Standards

•Education level: Bachelors Degree or equivalent experience

•Experience: 3-5 years experience in event planning and execution

•CRM - Cvent, Canva and other event software experience a plus

•Technical Skills: Microsoft Suite; Word, Excel, PowerPoint, and Outlook and Microsoft Teams.

•Excellent organization and multitasking abilities

•Excellent time management skills required. Must be able to prioritize and manage workload effectively.

•Strong attention to detail is required.

•Experience in political fundraising events and/or on Capitol Hill a plus

This is a hybrid working role, with an expectation to work some from the Washington, DC DISCUS office and some from home, depending on the schedule of events or as otherwise agreed with the Chief of Staff. This role requires working outside normal 9am-5pm business hours to support events as needed.
